Reservations
We encourage you to book through a travel agent that you are confident understands your individual needs. Travel agencies provide valuable service and counseling to prospective travelers. Travel agencies are not owned or controlled by Gray Line of Seattle. Your deposits and payments for Gray Line of Seattle services are to be paid to your travel agency with whom you made your reservations or, for direct bookings, to Gray Line of Seattle. Travel documents will be issued only if and when full payment has been received by Gray Line of Seattle from you or your travel agency. All tour prices listed are in U.S. funds.

Late Reservations for Package Tours
Bookings requested within 45 days of departure are on a space available basis. On bookings within 45 day of departure, we require final payment (credit card, or wire transfer of funds) before we can initiate the process of requesting space. Also, a fee of $25 will be charged to cover administrative and express mail costs. If we are unable to confirm the late booking as requested, all monies will be refunded in full. If the booking is canceled after acceptance of confirmation our cancellation polices apply.

Deposit and Final Payment for Package Tours
A deposit of $250 per person or 50% of the gross tour price if the gross tour price is less than $500 is due within 5 days of booking in order to hold your reservation. Final payment is due no later than 60 days prior to departure. Cancellation Protection Plan, if desired, must be paid for at time of deposit. Payment by VISA, MasterCard, American Express, money order or check. For faster processing, please include a confirmation number on your check. Travel agents please note that MCO's or tour orders will not be accepted.

Travel Documents
Assuming that full payment has been received, you will receive a set of tour vouchers together with a Contract of Carriage approximately 30 days prior to departure. If payment is received less than 30 days prior to departure, your documents may be picked up at the Gray Line office in Seattle or may be express mailed to you for an additional fee.

Change Fees for Package Tours
To cover administrative costs, a charge of $25 per person will be made if you request a change in your travel arrangements after the final payment due date of your tour. Change fees are not assessed for the addition of services unless travel documents must be reissued. Name changes require the prior approval of Gray Line of Seattle and may not always be possible. Travel documents are non-transferable. Name changes and departure date changes are considered reservation cancellations and are subject to cancellation fees.

Cancellation Policy for Package Tours
A full refund, except for amounts paid for the Cancellation Protection Plan, will be made for written cancellations received by Gray Line of Seattle at least 61 days prior to the date on which you are to commence travel (by air, rail, sea, or otherwise). Passengers who cancel after the date for any reason, including medical or family reasons, are subject to the following cancellation fees: 60-46days before commencing travel - $250 per person or the amount of deposit if the deposit is less than $250 per person; 45-31 days before commencing travel - 50% of gross fare; 30 days or less before commencing travel - 100% of gross fare. Fees incurred as a result of cancellation cannot be applied to future bookings. Travel agents may impose their own cancellation fees. Agency fees of any nature are a matter to be decided on solely by the agency and passengers. Given that the resale of the canceled space on a tour will likely result in a lost opportunity to sell space on other tours, these fees are due regardless of resale. Passengers who fail to join the tour will not receive a refund. Name changes and departure date changes are considered reservation cancellations and are subject to cancellation fees.

Cancellation Protection Plan And Additional Baggage Protection

Our Cancellation Protection Plan (CPP) allows you, for any reason, to provide written cancellation up to 24 hours prior to commencement of travel with an 80% refund of cancellation fees. CPP is optional, must be paid at time of deposit, and is not refundable. It is an excellent value for the peace of mind it offers.

The per person, per tour costs for CPP is based as follows. If tour price is:
  • $500 or less - $25 per person
  • $501 or more - 6% of tour price per person


  • In addition, Gray Line of Seattle automatically assumes an additional $500 of liability for lost, damaged or delayed baggage of passengers who purchase CPP. The baggage policies of Gray Line of Seattle are explained in detail in the Terms & Conditions. CPP is not insurance; it provides no rights other than those explained above. For example: it does not protect double, triple, quad occupancy rates should one or more members of your party cancel, nor does it cover expenses or unused services due to trip interruption.

    Refund Policy
    Gray Line reserves the right to cancel all or part of the tour in its reasonable discretion even in response to insufficient sales. If Gray Line cancels the entire tour, you will receive a full refund of amounts paid to Gray Line. If Gray Line cancels a portion of the tour due to weather or other reasons beyond the control of Gray Line or other vendors, or if you decide, for any reason whatsoever, to not participate in all or part of the tour, Gray Line will not be required to make any refunds. For other partial cancellations by Gray Line, you will receive a refund for the value of the canceled portion, with value to be determined by Gray Line in a fair and equitable manner. If, due to weather or other unforeseen reasons, flights are adversely impacted or you are otherwise required to spend an additional night in a location, hotel and meal costs are your responsibility. All refunds are processed by the main office of Gray Line of Seattle. No refunds will be made at other customer service locations. No refund will be issued on the spot. All refunds will be made through the travel agent used for the booking on the basis of the amount actually received by Gray Line of Seattle less any applicable cancellation fees and charges. Refunds for canceled or unused services will normally be made to the same travel agency, or to you for direct bookings, on the basis of the amount actually received by Gray Line of Seattle less any applicable cancellation fees and charges. You are responsible for obtaining from your travel agency monies either retained by the agency or received by the agency from Gray Line of Seattle.

    Cancellation Policy for Sightseeing Tours and Getaways
    A full refund will be made for cancellations received by Gray Line of Seattle outside of 7 days prior to tour departure. 7-3 days prior to tour departure a $10 per person cancellation fee will be assessed. 48 hours prior to tour departure, the tour is non-refundable. Name, departure date and time changes are considered reservations cancellations and are subject to cancellation fees. Boeing Tours are non-refundable.

    Refund Policy for Downtown Airporter
    Downtown Airporter and Cruise Express tickets are not refundable. Please check the Downtown Airporter, Connector Service and Cruise Express schedules before purchasing your tickets. If you are arriving outside the scheduled times, we are unable to accommodate and recommend finding alternative travel methods. Tickets are valid only for regularly scheduled Airport and Cruise Express. You may use the tickets on any regularly scheduled Downtown Airporter service within one year of the purchase date. These tickets are also transferable.

    Group Travel
    Our Group Travel Department will gladly accommodate groups of 15 or more. Ask your travel agent to contact Gray Line of Seattle's Group Department for details at 1-800-426-7505.

    Special Requirements
    We seek, to the extent feasible, to accommodate the needs of those of you with disabilities so that you are able to enjoy our tours. Service animals are permitted to accompany passengers if prior arrangements have been made at time of booking. Other animals are not permitted. Although Gray Line of Seattle endeavors to make sure that other persons or companies providing services or portions of the tour satisfy their obligations under applicable law, Gray Line of Seattle cannot guarantee that all of those services or portions will be fully accessible to those of you with disabilities. In limited situations where an individual with a disability would be unable to satisfy certain specific safety and other criteria, even when provided with appropriate auxiliary aids and services, we may find it necessary to ask the individual to make alternative travel arrangements. It is essential that we are notified of any special medical, physical or other requirements you may have at the time of booking.

    Increase in Fares, Port Charges, Taxes and Changes in Tour Content
    Prices quoted in this brochure are those in effect at the time of printing. If cost factors dictate the need for fare increases, Gray Line of Seattle may do so at any time prior to departure. Passengers can cancel (without paying a cancellation fee) rather than accept a fare increase. If a governmental authority or vendor increases fees or taxes, Gray Line of Seattle reserves the right to pass on these increases. Gray Line of Seattle reserves the right to alter the tours listed in this brochure and if necessary, substitute a tour component of comparable value (including hotels of a similar category). Holland America reserves the right to upgrade a guest or guests to more expensive category accommodations at no additional cost.

    Gray Line of Seattle's Responsibilities and Liabilities
    Gray Line's responsibilities and liabilities as to the tour are spelled out in the Contract of Carriage that you will receive with your tour vouchers. Please read the Contract of Carriage carefully and as soon as you receive it. It is important to note that services or portions of the tour provided by any person or company other than Gray Line (such as The National Railroad Passenger Corporation (Amtrak), airlines, taxis, tour operators, hotels, boats, or other vessels, meals and medical care providers) are performed by independent contractors, are solely at your risk and are subject to the terms or arrangements made by you or on your behalf with the independent contractor. Gray Line assumes no responsibility with respect to the goods or services of these independent contractors (including for delay, injury, death, or damage to property) even though it may collect monies or make arrangements on your behalf.

    The National Railroad Passenger Corporation (Amtrak) is not to be held responsible for any act, omission or event during the time passengers are not on board their trains or conveyance. The passenger contract in use by the National Railroad Passenger Corporation (Amtrak) when issued shall constitute the sole contract between the National Railroad Passenger Corporation (Amtrak) and purchaser of these tours and/or passenger. All conditions applicable to Amtrak are subject to the laws of the District of Columbia, U.S.A.

    Operating Details
    Periodically, Gray Line of Seattle uses other vendors such as taxis, Amtrak, PCL, Quick Shuttle, Gray Line of Vancouver and Gray Line of Victoria for tour components and motor coach transportation.

    Travel Distance
    Vancouver, on the mainland, is 160 miles north of downtown Seattle, about 3 hours by motor coach, 4 hours by train. Victoria, on Vancouver Island, is 105 sea miles northwest of Seattle. Travel times vary depending on how you go.

    Travel Details
    Gray Line of Seattle offers a unique opportunity for independent minded travelers who want flexibility in their itinerary. Our tours are composed of components that can be added together to provide a truly customized package. Consequently, you will not be traveling with the same group of people, or on the same motor coach throughout your tour.

    Baggage Policy
    Two pieces of stored luggage per person are allowed on package tours, Downtown Airporter and Cruise Express. Select sightseeing tours do not have baggage storage; please ask your reservations agent for details. All luggage must be able to fit in the baggage compartment of Gray Line motor coaches. Gray Line will carry as baggage only your personal effects for your wearing, comfort, or convenience during your tour. Your baggage needs to be placed in securely constructed and locked suitcases and trunks. During your travel, you should not leave money, jewelry or other valuables left lying in hotels, on buses, or elsewhere. Gray Line does not assume any responsibility for loss of or damage to perishable items, medicine, liquor, cash, gold, silver, jewelry, film, videotape, video equipment, binoculars, computers, computer equipment, cameras, or similar valuables, securities, financial instruments, or other valuable documents. Gray Line is also not responsible for any carry-on baggage left unattended on buses or on other modes of transportation or in hotels. If Gray Line, due to any cause whatsoever, is liable for loss of, damage to, or delay of, your property, the aggregate amount of Gray Line's liability will not exceed $100 ($600 for passengers who have purchased CPP) unless you have specified to Gray Line in writing the true value of your property and paid to Gray Line before departure 1% of the value in excess of $100 or $600, as applicable. In that event, Gray Line's aggregate liability will be limited to the amounts so specified.

    Immigration and Customs
    United States and Canadian citizens are not required to have passports or reentry permits, but must carry one of the following documents as proof of citizenship: a passport, either valid or recently expired and photo identification; a birth certificate certified copy and photo identification; a U.S. naturalization certificate and photo identification. Other passengers must carry valid passports and necessary visas. If you have been convicted of a felony, you will not be permitted to enter Canada.

    Gratuities
    Gratuities for drivers, food servers, cab drivers, hotel and cruise staffs and other service providers are not included in our prices; whether and how much is up to you.
